Organizations
Every conference, journal and submission belongs to an Organization / Community.
Two ways
Section titled “Two ways”| Free community | Your own organization | |
|---|---|---|
| Who | Anyone | A university, society, company or group |
| Cost | Free | A plan. See pricing. |
| Brand | Quorum Press | Your organization’s name and public page |
| Conferences and journals | Shared | As many as your plan allows, managed together |
| Team | None to manage | Co-admins, editors, organizers, registration desk |
Authors, reviewers and readers never pay in either case. The plan is the organization’s fee for the platform.
Set up your own
Section titled “Set up your own”- Create an Organization / Community. You become its admin.
- Fill in its public profile: website, country and a short description.
- Verify your domain to earn a badge that readers see on your published work.
- Create your conferences and journals under it.
- Add co-admins by email.
A new organization’s first conferences and journals are confirmed by Quorum Press before they go public. Established organizations publish at once.
One institution, one name
Section titled “One institution, one name”A university has many departments, and each may run its own conference or journal. They all belong under one organization with the university’s name, not one each.
If your institution is already here, ask to join it rather than setting up another:
- Find it on Organizations, under Is your institution already here?, or open its public page.
- Press Ask to join, and say your department or what you would like to run.
- Its admins answer. Any admin can, not only the one who set it up.
| What happens | When |
|---|---|
| You join at once, as a member | Your confirmed email is on the organization’s verified domain. |
| Its admins decide | Anybody else. They accept you as a member or as an admin, or decline. |
| Quorum Press decides | Nobody answers within a week, the organization has no admin, or you ask us to look again at a refusal. |
Nobody holds the name alone: the admins decide, and when they cannot or will not, we do.
A member opens conferences and journals of their own under the organization’s name, and runs those. They do not see anybody else’s. An admin sees and runs every conference and journal under it, and its people.
For admins: requests wait under Joining on your organization’s page, with your members. Verify your email domain and your staff join as members without waiting for you. Not sure who runs an organization? Ask us and we will put you in touch.
Setting up an organization starts with First, is your organization already here?: a search, with the organizations your colleagues are in (people with your work email domain) suggested at the top. If the name you type is very close to one already here, it is shown, and you tick My organization is not one of these to set up a new one anyway.
Trial, plan and deletion
Section titled “Trial, plan and deletion”A new organization of your own is a free trial.
| Stage | What happens |
|---|---|
| Trial | You can do everything. A countdown shows on your dashboard, with a link to choose a plan. |
| Plan activated | The organization is kept for good. It can never be deleted automatically afterwards. |
| Trial ends unpaid | The organization is locked: hidden and paused. This can be reversed by activating a plan. A deletion date is set. |
| Still unpaid on that date | The organization and its contents are deleted. Published work is never deleted automatically. |
If a plan lapses after you have paid once, nothing is deleted. New activity pauses until you subscribe again, and published work stays public.
The free Quorum Press Community is never on this clock.
Choose a plan and ask for it
Section titled “Choose a plan and ask for it”You do not need to read the whole price list. The pricing page has a calculator under the plans.
- Say two numbers: how many conferences, journals or workshops you run in a year, and about how many submissions they get together. A guess is enough.
- Read the answer: the lowest price that holds your numbers. That is a plan as it is, or a plan with a little added, such as Standard with 1 more conference or journal, with the sum under the price. Where something is added, the next plan up is named beside it, and Use Plus takes it instead. Press a plan’s own button on the list, such as Choose Standard, to start from that plan. You can pick a larger plan by hand under Or choose.
- Press Request this plan. You sign in, or make an account, and arrive on Plan and payments with your choice still there.
- Say who it is for: the organization, its country from the list, the first conference or journal you mean to run, and when it opens or is held. Choose the month and the year, or tick I know the exact day for a calendar. If somebody introduced you, enter their code under Were you introduced? to have 10% off your first year. Add anything we should know, such as a purchase order you need, and press Send the request.
Nothing is charged by sending a request, and no card is needed. We answer with how to pay, usually within two working days.
Plan and payments
Section titled “Plan and payments”Plan and payments is in your account: open your Profile and press Plan and payments. It shows:
| On the page | What it is |
|---|---|
| Your requests | Each request with its reference, such as QP-7K4PQR, its price, and where it stands: Request sent, In discussion, Invoice sent, Paid, plan active. What we write to you about it is shown under it. |
| Open the quotation | The request as a paper, with the reference, who it is for, what is bought, the total, and until when the price holds. Press Print, or save as PDF. Give it to your finance office to raise an order. Once we have said how to pay, the same paper is your invoice. |
| Your organizations | The plan each is on, whether it is active, and the day it runs until. In the last 60 days it says how many days are left. |
| Payments | What has been paid, with the date, the plan and the reference. |
Quote the reference with your payment. The plan starts on the day the payment is confirmed. You can Withdraw a request while it is open.
If you owe nothing, the page says so. Authors, reviewers and readers never pay, and an account stays free.
What a plan is meant for
Section titled “What a plan is meant for”Each plan is priced for a number of running conferences and journals, and a number of submissions a year. Billing shows where you stand against both.
| Plan | Running conferences and journals | Submissions a year |
|---|---|---|
| Small event | One | Up to 100 |
| Standard | One | Up to 500 |
| Plus | Up to five | Up to 2,500 across them |
| Unlimited | Any number | No stated number. Past 5,000 a price is agreed. |
- Nothing stops at the number. Your call carries on and no author is turned away. When your year ends, you renew on the next plan up, or on the same plan with more added.
Between two plans
Section titled “Between two plans”You do not have to move to the next plan for one more conference or a few hundred more submissions. Add them to the plan you are on.
| Plan | Another conference or journal | More submissions a year |
|---|---|---|
| Small event | Not offered. For a second, take Standard. | $80 for each further 50 |
| Standard | $320 a year each | $160 for each further 250 |
| Plus | $290 a year each | $240 for each further 500 |
- You are always shown the lowest price. When the next plan up costs the same or less, you are shown that plan.
- Renewing costs less on the whole price, additions included.
- Your quotation lists the plan, then each addition.
- Billing counts what you added. If you paid for 750 submissions a year, you are within your plan until 750.
- A submission is counted once, when it is first sent for review. A draft never sent is not counted. A revision, and the full paper of an accepted abstract, are not counted again.
- Reviewers, participants and people who register to attend are not counted.
- A finished conference stops counting. That is 60 days after its last day, once its call is closed. It stays public, with its book of abstracts and its papers, and next year’s conference takes the same place. A journal is always running.
- Opening a finished call again makes it a running one. If your plan has no place free, the page says so: close the other call first, or move to a larger plan.
Renewing costs less
Section titled “Renewing costs less”From the Standard plan up, a second year in a row costs less than the first, and a third year less again, where it stays. The larger the plan, the larger the reduction. The prices for each year are on the pricing page.
- Renew within 60 days of your year ending and the lower price is kept.
- If you stop for longer and come back, you start again at the first-year price.
- Renewing before your year ends loses nothing: the new year starts when the old one finishes.
Introduce an organization
Section titled “Introduce an organization”Whoever introduces an organization gains when it pays, and the new organization pays 10% less for its first year.
| Who introduces | Where the code is | What they gain, once the new organization has paid |
|---|---|---|
| An organization on a plan | Its Billing page | 10% less for its own next year |
| A person with an account | Your profile, under Introduce an organization | 10% of what the new organization paid for its first year, in money |
- The new organization enters the code on its Billing page, before its first payment.
- A person cannot introduce an organization they belong to.
- We write to the person to arrange the payment.
- Reductions together never pass 30% of a plan’s price.
Your journal, under your name
Section titled “Your journal, under your name”A journal or a proceedings run on Quorum Press is yours. It carries your name, your logo, your editorial board and your policies, and your organization is its publisher.
We guide institutions that are starting a journal, or bringing one out of an inbox, on the things that make it last:
- its scope, its editorial board and its peer-review policy, written where authors can read them
- an ISSN, which is free, from your national ISSN centre
- DOIs under your own prefix. See DOIs.
- a regular schedule, and corrections and retractions done properly
- what Google Scholar and the indexes look for before they list a journal
The Publishing readiness list on the page of your conference or journal shows which of these are in place. Ask us for guidance at any point.
Close an organization
Section titled “Close an organization”The owner can delete an organization from its page by typing its name. An organization with published papers cannot be deleted, because that would break public links and citations. Contact support if you need this.
